# What does Show in IMAP mean for Gmail labels? — Adinand Email Cleaner

**"Show in IMAP" decides whether a Gmail label appears as a folder in a separate mail program — Outlook, Apple Mail, Thunderbird — and it changes nothing inside Gmail.** It only matters if you read Gmail somewhere other than Gmail's own website and apps.

## Where the checkbox is, and who documents it <p>Oddly, the clearest instructions we found are Microsoft's, not Google's. Microsoft's support page for Outlook Mobile says: "Open Gmail and tap Settings (gear icon) in the top right > See All Settings > Labels", then "Toggle the checkmarks from the "Show in IMAP" option for each label you wish to show or hide", and notes that the list has three sections: "System labels, Categories, and Labels" ([*How to show or hide folders for IMAP in Google Settings*](https://support.microsoft.com/en-us/office/how-to-show-or-hide-folders-for-imap-in-google-settings-21591aa8-94e9-450d-bdb1-d5af22bd9b6a), read 24 September 2026).</p> <p>It may not be on every account. In Google's own Gmail Community forum, a user wrote in March 2025 that one of his accounts has "a column with checkboxes for Show in IMAP" and "In another gmail account, those settings aren't there", and others replied with the same problem ([*Show in IMAP column under Labels in Settings not there*](https://support.google.com/mail/thread/330207959), read 24 September 2026). That is a user report, not a Google statement, and the thread has no answer from Google.</p> <p>We also looked at a personal Gmail account on the web on 24 September 2026: under Settings, See all settings, Labels, the table has a "Show in IMAP" checkbox beside each system label — Inbox, Starred, Snoozed, Important, Sent, Scheduled, Drafts, All Mail, Spam and Trash — with Categories and your own labels listed below. That is one account on one day, not a guarantee about yours.</p> <p>The Gmail Help pages on IMAP that we read today do not mention the checkbox at all, and a search of Gmail Help for the exact phrase "show in imap" returned no answers ([*Gmail Help search results*](https://support.google.com/mail/search?q=%22show+in+imap%22&hl=en), read 24 September 2026). That is a finding, not a gap we are going to fill from memory: what the checkbox does below is our reading of how Google says IMAP works, and we say so where it matters.</p>

## Why labels become folders <p>IMAP is the standard way mail programs talk to a mailbox, and it has folders, not labels. Google's developer documentation states the translation plainly: "Gmail treats labels as folders for the purposes of IMAP", and Gmail's own labels such as Sent Mail, Spam and All Mail appear "prefixed by "[Gmail]"" ([*IMAP Extensions*](https://developers.google.com/workspace/gmail/imap/imap-extensions), read 24 September 2026). A message with three labels therefore appears in three folders, and the same page gives each message a unique ID precisely so a program can tell it is one message "across multiple folders".</p> <p>"Show in IMAP" is the per-label switch on that translation. Untick a label and, in our reading, a connected program no longer lists it as a folder.</p>

## What unticking does not do <p>Nothing Google publishes says that hiding a label from IMAP removes mail or removes the label. The messages keep their labels in Gmail and stay searchable there. That is our reading of the documentation rather than a sentence Google has written, but it is the reading every source we have points to.</p> <p>What can change Gmail from a mail program is the program itself. Google's developer page says labels can be modified "using the standard IMAP commands that act on folders: CREATE, RENAME, and DELETE". So deleting a folder *in Outlook* is the risky action, not unticking a box in Gmail. And for messages: Google recommends settings under which "You can find messages you delete from an IMAP folder in your "All Mail" label in Gmail" ([*Choose your IMAP email client settings for Gmail*](https://support.google.com/mail/answer/78892), read 24 September 2026).</p>

## Why you might untick labels <ul> <li>**A phone mail app is slow or full.** Every folder shown is a folder the program may download. Hiding large system folders you do not read there, All Mail especially, is where we would start.</li> <li>**The folder list is unusable.** Hundreds of labels built up by filters become hundreds of folders.</li> <li>**Duplicates.** The same message in several folders can look like several messages, depending on the program.</li> </ul>

## The setting Google does document <p>Google's troubleshooting for a program that is "crashing, or emails are taking too long to download" points to a different control in the same settings area. On the Forwarding and POP/IMAP tab, under "Folder size limits", choose "Limit IMAP folders to contain no more than this many messages"; Google's suggestion is to "only sync folders with 10,000 emails or fewer" ([*Add Gmail to another email client*](https://support.google.com/mail/answer/7126229), read 24 September 2026).</p> <p>Two more facts from that page change older advice you may find online. For personal accounts, since January 2025 "IMAP access is always turned on in Gmail", so there is no longer an Enable IMAP switch to hunt for.
